Everything a proposal needs to win
A proposal isn't a brochure. The pages that win work answer the same six questions in order, and the starting layout follows them.
Where they usually go wrong
It has to look like you do this for a living.
A Word file shows the seams: floating tables, mismatched type, spacing you fixed twice.
Template sites make you retype the job into their form.
Twelve fields before you see a page, and the result still looks like their template.
One change and the layout falls apart.
Move a line and the table, the headings, and the footer all need re-fixing.
- A pricing line that totals, not a vague range
- Scope, deliverables, and what isn't included
- A milestone timeline with dates, in a table
- The outcome first, and one clear next step to accept
| Item | Amount |
|---|---|
| Design and build | $7,000 |
| Analytics and handover | $1,500 |
| Total | $8,500 |
How it works
Describe it
Type what you need in plain language: the client, the line items, the tone. Attach a file if you have one.
Refine by chatting
The agent builds the document with real tables and headings, and you change anything just by asking. A live A4 preview updates as it works.

Generate my proposalYou type it, it sets it
Every part of the document is something you can ask for in a sentence. This is a real edit, made on the example above.
One more row in the deliverable table, dated like the rest.
| Deliverable | Format | Due |
|---|---|---|
| Design system and prototypes | Figma | Week 2 |
| Storefront build and launch | Staging site → live + docs | Weeks 5–6 |
Questions, answered
Do I have to retype a template?
Most proposal tools hand you a template to retype into. Here the proposal is the document: ask for a different milestone split, a monthly retainer instead of a fixed fee, or a shorter executive summary, and the agent rewrites that part in place.
Can I edit the proposal after generating it?
Yes, by chatting. Ask for a section to be rewritten, a table row to change, or the order of the sections to move, and the document updates with the live preview.
Does it include pricing tables?
Yes: a deliverables table, a timeline table, and a pricing table are part of the starting layout, so the money is laid out rather than buried in a paragraph.
Is it free?
Free to start, with no watermark and unlimited exports. The free plan covers around 20 PDFs a month.
Can I use it for grant proposals?
The structure (problem, plan, budget, outcomes) fits many grants. You'll still need the funder's own form and word limits, so treat this as the drafting surface, not the submission.
Use the proposal as a starting template
Preview a finished example and download its full PDF without an account. To use the layout for your own project, choose Generate my proposal: the studio opens with the proposal recipe ready for your scope, milestones and pricing. Check that the deliverables, dates and payment schedule agree before sending.
Fixed fee, retainer, or milestones
How you price changes what the proposal has to show, and the agent can lay out any of the three shapes:
- Fixed fee: one total with a payment schedule (often 40/40/20 across signature, mid-point, and delivery)
- Retainer: a monthly line, a term, and exactly what's included each month
- Milestone-based: each phase with its own price and a deliverable that unlocks it
Try the client website proposal example
The fictional Cascade Outfitters brief becomes a scope with exclusions, a milestone table, $7,000 design/build plus $1,500 handover, and a $8,500 total with 40/40/20 payments. Replace the example's goals and claims with your own evidence, and reconcile dates before sending. PaintPDF provides the PDF draft, not e-signatures, acceptance tracking or a guaranteed win rate.
How long does it take to build the proposal?
One short chat: describe what you need, check the live preview, download the PDF. You can keep changing it after that.
Can I bring a document I already have?
Yes. Attach up to four files at a time: images up to 5 MB, PDFs up to 10 MB, or text files up to 200 KB (.txt, .md, .csv, .json). For Word (.docx, not .doc), PDF, Markdown, HTML or LaTeX documents up to 10 MB each, choose ‘Import a document’ from the studio’s attachment menu. The agent rebuilds imports as editable blocks; original formatting may change.
